Event Code of Conduct

OVERVIEW

Any institution or individual wishing to host a public engagement event under the title and theme of ‘Bits and Bobs: The Anatomy of Sex’, and use its associated resources, must agree to adhere to the below code of conduct. This is to ensure that:

  • Resources are used appropriately.
  • The event will not bring the anatomical community into disrepute.
  • The original content creators are adequately acknowledged.

By agreeing to the code of conduct, you are declaring that you understand that:

  • The event package will provide limited resources and guidance on running a 'Bits and Bobs: The Anatomy of Sex' event. The event package and resources are not intended to provide a comprehensive guide and all required resources for running a public engagement event. There may be elements or resources not provided within this package that your individual event, institution or venue may require.
  • The providers of this package are not responsible for the running, funding, or logistics of your hosted event.
  • You must give adequate thought and planning into the required space, expected number of participants, health and safety, and any other requirements of your event/venue.
  • The providers of this package are not required to provide any additional resources or support beyond that which is given in the event package. Any additional support is given at the original organisers’ discretion.
  • The providers of the event package are not responsible for any adverse outcomes of your event.
  • You are responsible for gaining permission from your institution to hold this event.
  • You agree to hold the event in adherence to the below requirements.

LOCATION AND ACCESSIBILITY

The event will be held in an appropriate location that can be easily accessed by members of the public. This may be a higher education institution, or an external venue (for example: museum, gallery, theatre, science centre).

The event will be held in a location with appropriate accessibility arrangements in place, so that no member of the public is prevented from attending.

FINANCIAL

The event should not be held with the intention of making financial gain.

Where possible, the event will be free of charge for the public to attend.

  • If payment by the public is required, this payment must only be to cover the cost of the event, venue and/or other consumables.
  • If the chosen venue for the event charges an entry fee, this must be a non-profit organisation.

Any profit generated though hosting the event will go to either the non-profit venue or to a relevant charity.

SPECIMENS

If specimens are being used, they must be of animal origin only. No human specimens should be used for this event.

All social media posts and marketing materials will be written in such a way that it cannot be misconstrued that any dissections are anything other than animal in origin. i.e. not ‘live’ dissections from a medical school without clearly stating that they are using animal organs.

BRANDING, ADVERTISING AND MARKETING

You must use the resources provided and maintain the existing formatting and logos.

You must display the station poster, as this acknowledges the original station creator(s).

You must display the ‘About the Event’ poster, as this acknowledges the original event creator(s).

All marketing should include the ‘World Anatomy Day’ logo and ‘Bits and Bobs: The Anatomy of Sex’ title. Where possible, please tag/mention the relevant ‘anatomyofbits’ social media account(s).

PROFESSIONALISM

The event should be presented in an educational context and be advertised and marketed as such.

Staff involved with delivery of the event and engaging with the public must have the relevant qualifications and expertise (i.e. anatomy demonstrators, lecturers, etc.).

Information shared though the event should be evidence-based and factually correct.

STUDENT INVOLVEMENT

Any students involved in the event should be adequately trained, supported and supervised.

ACKNOWLEDGMENT

Acknowledgment of original station leads should be displayed at the event. This is listed on each station poster and the ‘About the Event’ acknowledgement poster. Please do not edit the acknowledgement section of these posters.

INCLUSIVITY

All staff should make efforts for the resources and event to be inclusive.

Be aware the subject nature may be potentially triggering or offensive to some participants.

A poster with a QR code linking to suggested further reading can be displayed for participants and is provided in the event resources package.

IMAGE PERMISSIONS

All images used must have appropriate licencing (E.g., Creative Commons, institutional license). Resources should not be distributed to participants.

RESOURCES

Provided resources can be adapted (maintaining Bits and Bobs: The Anatomy of Sex branding, logos, and formatting).

Provided resources should not be distributed to participants.

Provided resources are to be used for the sole purpose of hosting a Bits and Bobs: The Anatomy of Sex public engagement event. Provided resources should not be used for teaching or for any other purpose. This includes any adapted versions.

If anything in the above is unclear or if you have any questions about this Code of Conduct, please contact us on anatomyofbits@gmail.com.
